Bank Holiday Weeks – Early Final Approval and Sign-off in Kronos

Thursday, November 24 (Thanksgiving Day) is a bank holiday. We will be issuing paychecks on Friday, November 25.

Although the bank holiday is not on pay day, in order to receive our paychecks on time, we must move the Kronos timecard final approval deadline up two hours from 1 p.m. to 11 a.m. to ensure that paychecks will be issued by November 25.

Kronos timecard final approval Monday, November 21 is due early at 11 a.m.

Please communicate and adjust your internal Schools/Department deadlines as needed for employees and supervisors to review and approve their timecards. We recommend that you begin your normal timecard review processes as soon as possible.

12-month Holiday Wednesday, November 23

Just a quick note clarifying that the 12-month holiday on Wednesday, November 23 is a half-day holiday. We have been granted the same 4 hours of early closure/holiday that the Commonwealth and Albemarle County granted to their employees. Employees who are not working that day need to take the remainder of the workday as leave. The hours in Kronos have been corrected. Information was sent out via the Compass earlier this week (School Board Grants Additional Thanksgiving Holiday Leave to All 12-Month Employees).

Building Closure Leave

With the unexpected school closure yesterday, we’re sending out a quick reminder on how building closure leave should be recorded in Kronos.

Building closure leave is paid leave that is only available to regular employees. Temporary employees are not eligible for building closure leave.

GCQC Coverage of Schools Due to Weather and/or Emergency provides a policy overview of building closure and coverage during closures.

10-month and 11-month employees (i.e. Teaching Assistants, Teachers, etc)

10-month and 11-month regular employees were granted building closure leave yesterday (November 14). Timekeepers need to add the building closure leave to non-exempt employee’s timecards to bring them to their expected scheduled hours for the day. Instructions on how to do so are found here Time and Attendance – Building Closure Leave.pdf – All Documents (sharepoint.com) Timekeepers may, but are not required to, add building closure leave to exempt employee’s timecards. If a 10-month or 11-month employee had a prescheduled personal day, you may remove the Personal Leave Cascade and replace it with Building Closure Leave.

12-month employees (i.e. Central Office Administration, Department of Technology, etc)

12-month regular employees were granted liberal leave today. Liberal leave means annual leave use is pre-approved and can be taken as needed for the day. Building closure leave should not be added to 12-month employee’s timecards. If a 12-month employee took the day off, then the Annual Leave Cascade should be added to their timecard.

Just a reminder, open enrollment ends at 11:59PM on Tuesday, November 15. Please remind your employees that open enrollment must be completed by every benefits eligible employee even if they are waiving benefits. Here is an updated list of employee numbers by school and department:

Bank Holiday Weeks – Impact to Final Approval and Sign-off in Kronos

Friday, November 11 (Veteran’s Day) is a bank holiday. We will be issuing paychecks on Thursday, November 10 so that employees will receive their pay that week.

In order to allow payroll to process the data in time, we must move the Kronos timecard final approval deadline up two hours from 1 p.m. to 11 a.m. to ensure that paychecks will be issued by November 10.

Kronos timecard approval Monday, November 7 is 11 a.m.

Please communicate and adjust your internal Schools/Department deadlines as needed for employees and supervisors to review and approve their timecards. We recommend that you begin your normal timecard review processes late next week.

Retirees in Kronos

We’ve had a few questions come in about retirees displaying in Kronos this week. All of our VERIP (Voluntary Early Retirement Incentive Program) employees were brought into Kronos as some of them do Sub/Temp for the Division. We have cleaned up that information so that only those who are working should be displaying now. If you need access to one of our VERIP employees, please reach out to us at time@k12albemarle.org or attend one of our Office Hours next week.

Electronic EARs

The electronic EAR system pulls from GP. If you are a supervisor or timekeeper who submits e-EARs, please note that the information listed under current information may be outdated. To review current information, supervisors can review direct and indirect reports in ADP under My Team. Timekeeper set-up to review department/school information is still under construction. Thank you for your patience everyone!

Reminder: ACPS Subs and Temps

Quick reminder that all ACPS Subs entered into Kronos must have an:

  • Account Code labor level transfer and a Work Rule transfer added by the School/Department Timekeeper (or supervisor)
  • This is in addition to the School/Department Labor Level 1 that the employee selects

Sub Incentive Program Refresher

We are in the process of reworking the documentation behind the Sub Incentive Program but wanted to reach out to you all with a few reminders.

This program is only meant to be used for employees covering for a missing teacher.

Only time that an employee spends covering a classroom for a missing teacher is covered. If an employee is covering for a Teaching Assistant, Office Associate, or any other non-teaching positions, Sub Incentive Pay should NOT be applied.

School-Based Substitutes.

Per the School-Based Substitute job description:

The School-based Substitute Teacher covers classroom teacher, specialist, or teaching assistant roles based on school needs each day. Additional responsibilities may include covering for Office Associates or supporting instruction with a classroom teacher.

Based on this description, covering for employees that are missing is built into the role and rate of pay. Therefore, they do no qualify for the Sub Incentive Pay program since the role itself encompasses what we are asking teachers and teaching assistants to do for the incentive.

Work done outside of scheduled hours.

If an employee is asked to cover a classroom teacher outside of their regular scheduled hours, Sub Incentive should not be applied. Instead, the Sub – Full Day or Sub – Half Day work rule should be applied to ensure the employee is properly compensated for the time worked.

We want to remind you that the upcoming Monday is a holiday, and payroll must run on Tuesday during a compressed timeframe in order for employees to be paid on Friday. Please be certain to fully logout of the transaction input module in GP by 12:00 p.m. on Friday, July 1, 2022. If you do not, the payroll team is unable to pull the file until you do.
