Kronos Password Reminders

As 10-month employees return, we wanted to send a reminder on how employees must gain access to Kronos with a temporary password. As supervisors and timekeepers, we ask that you try to help your employees with this process as much as possible, but if you all run into any trouble, please reach out to:

Compass: New Kronos Login Information for All Employees

As a result of the criminal cybersecurity event experienced by Local Government this summer, school staff now have a different password to log in to Kronos.

On July 25, all employees received a Tech Advisory email with instructions for logging in and setting a new Kronos password. You’ll need to enter your initial (temporary) password before you are prompted to create a new one.

You can access Kronos and update your password in any of the following ways:


Your Initial (Temporary) Password:

  • Format: Legal Last Name (as it appears in ADP) + Birth Year + ACPS (no spaces)
  • Example: If your name is Jane Jones-Smith and you were born in 2000, your password would be: 
    Jones-Smith2000ACPS

Note: Capitalization will match how your last name appears in ADP. If your last name includes a hyphen (-), apostrophe (’), or space ( ), that character will be part of your password.


When prompted to change your password:

  • Enter your initial (temporary) password as the Old Password
  • Create a new password that is at least 8 characters
  • Do not make your new Kronos password the same as your ACPS network password

Note: If you receive a message that you’re locked out during the change process, your account will automatically unlock after 30 minutes, and you can try again.

Kronos Access Update 7/25/2025

Earlier today, a Tech Advisory message was sent to all staff with information on how to access Kronos going forward. That message included information on a new temporary password for ALL employees (even those who had their password manually reset by HR in the last two weeks). After logging in with that temporary password, the system will automatically ask you to create a new password. Please make a note of that newly created password!

Be sure to log in to Kronos to change your password. This is especially true for any supervisors or timekeepers who have access to multiple employee records.

As timekeepers and/or supervisors, we ask that you please help your employees gain access to their own Kronos using that information.

Kronos Access Update

If you received a notification from us last Friday confirming that your password was changed as requested (7/9/2025 Temporary Kronos Access for Timekeepers), we believe that change held over the weekend.

If you signed up for access this morning but have not yet received a confirmation email, we are currently working through those requests and will notify you once your access is ready.

We are actively working with the Department of Technology and Gov IT on granting access to all employees.

Temporary Kronos Access for Timekeepers

While we work toward a permanent solution, the HRIS team can temporarily reset your Kronos password each day to allow access from your primary work location.

To request access on a specific day, please use the sign-up form below. Please sign up for one day at a time.

Password access will be active from 10:00 AM to 10:30 PM each day.

You will receive an individual notification when your password has been reset, including the updated password.

If you need access before 10:00 AM or encounter any issues, please email time@k12albemarle.org directly.

We appreciate your patience and hope to implement a permanent fix soon. If anything changes with this plan, we will share that information with the field.

Please note that individual employees will still not have access to their timecards. This temporary fix is ONLY for those with timekeeper/supervisor access.

We will again be hosting open labs next week in the HR Conference Room (COB McIntire) to ensure timecard data is entered in a timely manner. Please stop by if you are able. If you only have a few employees to keep track of (5 or fewer), we will be available via Zoom (Zoom Link) during those same times. When signing up, please note whether or not you will be in-person or meeting with us via Zoom. Please sign up for as many sessions as you think you will need.

You will need to clearly explain what needs to be done, step by step, so the HR employee using the special laptop can enter the information for you. The computers we are using are not connected to the internet or a printer. So, we can’t take screenshots or export any data from Kronos.

6/30/2025 Kronos Payroll Open Lab

We will be hosting another Open Lab session this Monday to assist with payroll processing and timecard cleanup. There will be 10 available slots per session, and you are welcome to sign up for as many as you need. Please sign up, regardless of whether you will be attending in person or participating via Zoom.

If possible, we strongly encourage you to attend in person, as it makes entering and correcting timecards significantly easier.

Kronos and End-of-Year Updates

Kronos Outage

Kronos is still down. Please do not attempt to log in until we send an official all-clear notification.

In the meantime, continue to track employee clock-in/out times manually. If you need assistance setting up a Google Sheet or Form to help collect this information, feel free to reach out to time@k12albemarle.org —we’re happy to help.

Comp Leave Payout

Additionally, please note that the Comp Leave payout originally scheduled for June 16 has been moved to June 27, 2025. This adjustment provides employees with additional time to use any earned Comp Time before the end of the pay period. All remaining balances will be paid out on the July 3 paycheck.

Please submit any historical corrections that include Comp Time Leave no later than Wednesday, 6/25/2025. Any correction submitted after that time will not be eligible for Comp Time Leave, and any remaining Comp Time balance will be paid out in the July 3 paycheck.
