We hope this message finds you well. Given the weather this week, we’re sending reminder instructions below for Building Closures including special instructions for Monday, 1/6/2025 as a telework day.

General Reminders 

Special Instructions for Monday 1/6/2025 

Due to the snow day on Monday, professional development was scheduled for teachers, and leadership decided to implement a telework day for those scheduled to work and able to do so. 

For non-exempt employees scheduled to work (200, 220, or 260-day schedules), timecards will need to be reviewed individually. Those working less than 200 days were not scheduled to work and no building closure leave is necessary. Here’s the process to follow: 

  • Review Timecards
    • Employees should have clocked in and out as usual. 
    • Any time missed up to their regular scheduled hours should be supplemented with Building Closure Leave for Monday. 
  • Use the “HR BP Genie” in Kronos
  • Set the calendar to Monday. 
  • Group the Employment Terms column by clicking the drop-down arrow and selecting “Group By this column”  
  • Optional: You can collapse all the rows by clicking the arrow above the header row 
  • Look for non-exempt employees using the “Employment Terms” column – non-exempt employees have an employment term that ends in “NE” or have the word “non-exempt” in it. 
  • Identify non-exempt employees who worked less than their full scheduled day by comparing the “Regular Pay” column with the “Daily Hours” column. 
  • For Employees with Time Worked: For employees who worked less than their normal schedule, adjust the timecard by adding Building Closure Leave up to their scheduled hours. 
  • For Employees with No Hours Worked: You can do this in bulk actions for everyone with the same standard daily hours.  
    • Select all non-exempt employees with no hours.  
    • Click Timekeeping then select “Add Pay Code” and apply Building Closure Leave for a full day, matching their scheduled daily hours. 
  • For Employees with Leave:  
    • If they had already requested a full day of leave (i.e., annual, personal, or sick leave), the requested leave will remain on the timecard, and no additional building closure leave is added.  
    • For employees who had a partial day of leave and could not telework on Monday, adjust the timecard by adding Building Closure Leave up to their scheduled hours.  
  • Double Checking: To double check that everything looks right you can compare the “Daily Hours” column with the “Total Hours” column. These should match. If “Total Hours” is higher than Daily Hours, then the employee’s “Regular Pay” column should be the reason for going over (not Leave Used or Building Closure Leave) 
  • Note for Exempt timecards:  
    • You do not have to add Building Closure Leave to Exempt timecards. If you have already done so, that is also fine. Those create records only and do not impact pay.  
  • For employees required to be on-site on Monday: 
    • Add the “Essential Personnel” work rule to the on-site time worked on the employee’s timecard in Kronos.

Early Sign-off

Wednesday, January 1 (New Year’s Day) is a bank holiday. To ensure payroll processing is completed on time, the Kronos timecard final approval deadline has been moved up by two hours, from 1 p.m. to 11 a.m. on Monday, December 30.

Please communicate this change and adjust your internal deadlines so employees and supervisors can review and approve their timecards accordingly.

Update: Time-Off Request Issue in Kronos

The Kronos system error affecting time-off requests has been resolved. Employees can now submit their time-off requests as usual through the system.

We appreciate your patience and understanding while we worked to address this issue. If you encounter any further issues or have any questions, please don’t hesitate to contact us at time@k12albemarle.org.

Time-Off Request Issue in Kronos

We are currently experiencing a system error in Kronos that is preventing employees from submitting time-off requests. Our team is aware of the issue and is actively working to resolve it as quickly as possible.

In the meantime, if employees need to request time off, please instruct them to communicate directly with their supervisor or timekeeper to ensure their requests are documented and processed manually until the issue is resolved.

Compensatory Time and Shortfall Changes

Human Resources has been assessing our employee leave program to better support our staff and their families. We’ve identified enhancements that provide more flexibility in how employees access their leave benefits. These updates apply to regular, non-exempt employees only and will take effect with the pay period starting October 5, 2024, as mentioned in the “Additional Leave Policy Updates” Compass Post.

Compensatory Time

We are pleased to announce the return of the Compensatory (Comp) Time Leave Program for non-exempt employees, effective immediately. Non-exempt employees may now choose comp time instead of overtime pay for hours worked beyond 40 in a week.

Key Points:

  1. Pre-Approval: Comp time must be agreed upon in advance between the employee and supervisor.
  2. Max Cap: Comp time balances cannot exceed 80 hours. Current balances in excess of 80 hours will be paid out automatically (e.g., during the October 25 payroll).
  3. Year-End Payout: Any unused comp time as of June 15 will be paid out, with no carryover into the next fiscal year.
  4. Temporary Employees: Temporary employees are not eligible for comp time.

Payouts and Job Changes:

  • Upon termination or transfer, any remaining comp time will be paid out.
  • Supervisors may offer or approve payout requests based on budget.

Shortfall Changes

Previously, when non-exempt (hourly) employees worked fewer hours than scheduled, their personal/annual leave was automatically deducted to cover their missed time resulting from this shortfall. The addition of paid leave will no longer be automatic.

  • Employees will now see “Shortfall – Leave Without Pay” instead of personal/annual leave.
  • Employees must now request leave from their supervisor and submit a Time Off Request in Kronos, per Policy GCC.
  • Employees will only be paid for time worked and approved paid leave.
  • Shortfalls will still count toward Acceptable Attendance standards.

Building Closure Leave

  • While it is okay to apply Building Closure Leave to all employee timecards, it is only necessary to apply leave to non-exempt employee timecards.
  • Even if an employee worked when the building was closed, they still qualify for all applicable Building Closure Leave.
  • As a reminder, please refer to the Building Closure Leave FAQ post from earlier this year. If the previous Building Closure Leave SOP conflicts with anything listed in the FAQ, please follow the FAQ as that is the most recent and up-to-date documentation on Building Closure Leave practices.
